OVERVIEW:
The Department of Administrative and Financial Services (DAFS) Office of Information Technology (OIT) provides enterprise technology services that support the critical and diverse business needs of the State of Maine and its agencies. This position is part of MaineIT Client Technology Services and oversees three connected operational service areas: High-Speed Print, Inventory and Purchasing, and the Copy Center. MaineIT is seeking an experienced operational leader who can provide consistent supervision across these services while giving the High-Speed Print team dedicated day-to-day management. The ideal candidate will have strong leadership, organizational, analytical, communication, and customer service skills, along with experience coordinating people, schedules, inventory, purchasing, production work, and process improvement.
MaineIT is seeking a highly talented individual who will represent our C.A.R.E. values in all that they do. At MaineIT we:
• Practice Customer-focus, ensuring that our customers are heard and their needs are met.
• Hold ourselves to a high level of Accountability by being transparent with our stakeholders.
• Maintain an effective level of Responsiveness by providing timely updates in a proactive manner.
• Strive to provide Empathy-driven, people-focused services by applying emotional intelligence skills and behaviors.

DESCRIPTION:
The Supervisor, Data Operations reports to the Director of Client Technologies and provides direct supervision to six employees across High-Speed Print, Inventory and Purchasing, and the Copy Center. The position plans, assigns, coordinates, and evaluates work across two Augusta locations while establishing consistent priorities, procedures, service expectations, and backup coverage.
A central responsibility of this position is providing High-Speed Print with dedicated and visible day-to-day management. The supervisor works closely with the production team, coordinates staffing and schedules, monitors deadlines and quality, strengthens procedures and cross-training, and provides hands-on production coverage when staffing gaps or urgent operational needs require it.
This position also oversees technology inventory and purchasing activities, billing and supporting records, vendor and agency coordination, and Copy Center service delivery. Work requires sound judgment, attention to detail, effective employee coaching, strong customer service, and the ability to improve workflows while maintaining reliable daily operations. The position is eligible for hybrid work, but regular on-site leadership is required based on operational needs. High-Speed Print currently begins operating at 5:00 a.m., and MaineIT intends to establish team coverage across a 5:00 a.m. to 5:00 p.m. service window. The supervisor will coordinate coverage across that window; this does not mean a routine 12-hour workday. Early starts, schedule flexibility, work at both Augusta locations, and occasional hands-on High-Speed Print coverage will be required.
RESPONSIBILITIES INCLUDE A DIVERSE SET OF ISSUES INCLUDING:
• Supervision, coaching, performance management, training, and work coordination for six employees across three service areas.
• Dedicated day-to-day leadership for High-Speed Print, including staffing, scheduling, production priorities, deadlines, quality, and service continuity.
• Inventory control, technology purchasing, billing, recordkeeping, vendor coordination, and related operational controls.
• Copy Center service delivery, workload coordination, equipment use, customer service, and continuous improvement.
• Cross-training and backup coverage to reduce single points of failure and strengthen operational resilience.
• Development and maintenance of operating procedures, training materials, service measures, and management reporting.
• Coordination with MaineIT teams, State agencies, customers, and vendors to resolve issues and meet service commitments.

TYPICAL DUTIES INCLUDE:
• Plans, schedules, assigns, directs, and evaluates the work of employees across High-Speed Print, Inventory and Purchasing, and the Copy Center.
• Establishes priorities, communicates expectations, provides coaching and performance feedback, and supports employee development.
• Maintains regular on-site engagement with the High-Speed Print team and coordinates staffing and resources to meet time-sensitive production commitments.
• Monitors production deadlines, output quality, customer requirements, equipment needs, and recurring operational issues.
• Provides or coordinates hands-on High-Speed Print production support during staffing gaps, urgent requests, or other operational needs.
• Develops cross-training and backup coverage plans so essential services do not depend on a single employee.
• Oversees purchasing activities and computerized or manual inventory control systems.
• Ensures inventory, billing, purchasing, and supporting records are accurate and established controls are followed.
• Works with vendors, agencies, customers, and MaineIT teams to resolve billing, equipment, supply, production, and service issues.
• Oversees Copy Center workload, service delivery, equipment use, customer needs, and process improvements.
• Reviews workflows, service information, and recurring issues and implements practical improvements.
• Develops and maintains procedures, training materials, operational documentation, and performance measures.
• Anticipates personnel, equipment, supply, and program needs and advises Client Technologies leadership.
• Applies applicable human resource laws, policies, collective bargaining requirements, safety practices, and confidentiality standards.
• Demonstrates flexibility in responding to changing priorities and assisting across service areas when operational needs arise.

KNOWLEDGE SKILLS AND ABILITIES:
• Knowledge of supervisory principles and practices, including planning work, setting expectations, coaching employees, evaluating performance, and addressing workplace issues.
• Knowledge of data operations, production workflows, inventory control systems, purchasing practices, billing processes, and recordkeeping requirements.
• Ability to coordinate employees, schedules, workloads, and service priorities across multiple functions and locations.
• Ability to learn High-Speed Print equipment and production processes and provide hands-on operational coverage when necessary.
• Ability to develop procedures, training programs, documentation, service measures, and process improvements.

• Demonstrated commitment to customer focus, accountability, responsiveness, empathy, teamwork, and continuous improvement.
