Job description
The Department of Facilities Management & Development at SUNY Downstate Health Sciences University is seeking a full-time Space Management Project Manager.
Under the supervision of the Assistant Vice President (AVP) for Management Operations in the office of the SVP/CAO with dotted line reporting to Facilities Management and Development (FMD), the primary responsibilities for the Space Planning Project Manager are the policy formation for managing all space change projects and the documentation by providing space planning expertise, updating and generating AutoCAD space inventories and databases, analyzing existing space utilization, developing campus-wide policies on space allocation and usage, preparing special reports detailing specific project space needs, generating space allocation plans for various campus wide surveys, programming space summaries and preliminary planning test fits and furniture plans for end-user planning review and signoff, updating campus AutoCAD base building and plans, and exporting AutoCAD data for import into the SUNY Space management database (currently Assetworks Aim). This position will also participate in capital spending decision-making and generally be advising the most senior leadership of Downstate.
SPACE PLANNING LEADERSHIP : The Space Planning Project Manager will generate presentation materials, floor plans, space utilization reports and other graphic products to assist with the visualization and communication of planning findings for space steering and space policy committee meetings.
GENERATE & UPDATE DIGITAL SPACE DATA in AUTOCAD and SUNY Assetworks AIM format : Conduct field documentation, measurements, surveys and data collection of use and occupancy of existing on and offsite campus spaces. Assist with the development, maintenance and updating of a comprehensive space management database, including an inventory of all property, infrastructure, buildings, space, departmental allocations and assigned staff spaces. The inventory must be kept current at all times and include critical data about existing space including vacancy and use data, as well as net square footage. This will be coordinated with other campus data sets and provides baseline data for other department led surveys including for example, Property Management equipment surveys, Research Reimbursement Rate Surveys, and AAALAC animal space surveys. Manage the ongoing update and yearly review of onsite and offsite physical space configuration, usage, and classification using NCES FICM (National Center for Education Statistics Facilities Inventory and Classification Manual) space codes utilizing the software system (currently Assetworks AIM and ReADY), and terminology as defined by SUNY Office of Capital Facilities (OCF).
STRATEGIC PLANNING and CAMPUS WIDE COLLABORATION : Work with others to contribute to the development and ongoing realignment of SUNY Downstate's Facilities Master Plan ("the Campus Facilities Master Plan"), working with University and Hospital leadership, the SUNY Downstate Research Foundation, HSCB Foundation and Real Estate Office, Downstate Health Physicians and other campus end-users to incorporate documentation of affiliated offsite space, in addition to SUNY owned space, currently in use to support the SUNY Downstate mission of healthcare, research and education. Collaborate with SUNY Downstate Health Sciences University’s Facilities Management Department, Design and Construction Group, Buildings & Grounds, Operations, Information Technology, Public Safety and Asset Management departments, and departmental user groups to provide documentation of space planning needs required for Design and Construction implementation (by others). Frequently review and propose uses of existing, underutilized space. Collaborate with consultants and contractors such as architects, furniture vendors, and installers to develop and document space and furniture planning standards. Develop policies, new reporting tools and planning standards for future projects as required.

Academic Medical Centers are complex siloed organizations that are constantly evolving. NY state procedures and systems add complexity to simple workflows. Use of professional judgement to maintain efficiency and flexibility and good humor while adjusting to changes in leadership priorities, shifts in funding, evolution of accreditation criteria, and phased implementation of SUNY OCF systems, software and priority initiatives. Other duties as may be assigned to focus on the space management mission and deliverables.
Required Qualifications
• Bachelors’ Degree in Architecture, Interior Design, or related field
• 3+ years of professional experience in space planning, design, or construction management and administration
• Or a satisfactory equivalent of education, training, and experience
Preferred Qualifications
• Strong computer skills, including proficiency with AutoCAD, Adobe Creative Suite, Microsoft Office Suite
• Demonstrated knowledge of space planning and functional programming principles, and best industry practices
