Shift Details: Daytime hours at Froedtert Hospital, Monday through Friday, 8:00 a.m. to 4:30 p.m. Hours may flex based on the daily meeting schedule and time of year, including Magnet designation milestones and shared governance days.
Job Summary:
Under administrative direction, develops, maintains and optimizes operational tools, workflows, and processes in support of department leaders, strategies and goals. In coordination with the department leaders and physicians supports ongoing project and workgroup efforts in order to aid in the achievement of performance metrics, program growth and quality initiatives. Other duties as assigned.
The Project Coordinator – Magnet Program serves as the operational backbone of Froedtert Hospital’s Magnet Recognition Program and nursing shared governance structure. Reporting to the Magnet Program Director, this role coordinates the meetings, schedules, documents, projects, and events that keep Magnet and shared governance work moving forward. The coordinator partners with nursing leaders, shared governance chairs and members, and interdisciplinary teams, and works both independently and collaboratively in a deadline-driven environment. Strong organization, communication, attention to detail, and follow-through are essential to success in this role.
Key Responsibilities
Shared governance councils:
• Coordinates and supports the operations of shared governance councils, including scheduling meetings, preparing agendas and materials, tracking action items, and following up with council chairs and members to support timely completion.
• Meeting minutes: Attends shared governance meetings; accurately documents discussion, decisions, and action items; distributes minutes within established timeframes; and maintains an organized archive.
• Scheduling and calendars: Organizes and maintains schedules and calendars for nursing leaders, councils, and Magnet workgroups, including meeting cadences, room and virtual meeting logistics, and adjustments as priorities change.
• Presentations and materials: Creates and updates PowerPoint presentations and other materials for nursing leadership, councils, and organization-wide audiences, ensuring accuracy, consistency, and timely completion.
• Annual nursing report: Coordinates development of the annual nursing report, including gathering content and data from nursing units and partners, tracking contributor deadlines, editing for consistency, and coordinating production and distribution.
• Nursing events: Coordinates logistics for nursing events, including planning timelines, supplies, vendors, communications, day-of coordination, and post-event follow-up.
• Magnet project tracking: Tracks progress on Magnet tactics, workgroups, and projects and prepares status updates for the Magnet Program Director and nursing leadership.
• Point of contact: Serves as a central point of contact for Magnet and shared governance questions and requests, communicating timelines, expectations, and changes clearly and promptly.

EXPERIENCE DESCRIPTION:
A minimum of 1 year of experience in healthcare or project coordination is required. A minimum of 2 years of experience in healthcare is preferred. Preferably experience in a Magnet level system.
EDUCATION DESCRIPTION:
Bachelor's degree. In lieu of degree, an Associate degree with 2 years of relevant experience.
SPECIAL SKILLS DESCRIPTION:
Strong analytical and problem solving skills. Experience in implementing and managing projects or processes. Demonstrated skill assisting with change management efforts and effective collaboration with physicians, nursing leaders and other team members. A successful record of accomplishment in moving projects/initiatives forward to completion and proven ability to turn ambiguity into results. Understanding or desire to understand Magnet Program. Strong office and project organizational skills, attention to detail, ability to meet deadlines. Self-motivated, independent thinker. Excellent written, oral and presentation skills. Microsoft Word, Power Point, Excel, Outlook. Knowledge of medical terminology is beneficial.

Physical Requirements
Work environment:
• Primarily office-based, with time spent sitting at a computer, walking to meetings and clinical areas, and standing during events.
• Peak periods: Hours flex to support meetings, events, and peak Magnet periods, including designation deliverables, shared governance days, and nursing events.
• Physical requirements: Occasional lifting of event supplies weighing up to 14 lbs.
