Description
The MSTP Program Manager provides high-level program management for the Medical Scientist Training Program (MSTP) , Mount Sinai’s MD-PhD program, with primary responsibility for admissions and recruitment, student milestones and success, student onboarding and transitions, community programming, communications and publications, data and process improvement, financial administration, and T32 data and reporting.
Working closely with the MSTP Administrative Director, MSTP Coordinator, faculty leadership, students, and institutional partners, the Program Manager leads the planning and implementation of major program initiatives and manages complex, recurring program functions. The Program Manager develops program processes and resources, coordinates multiple stakeholders, monitors progress and outcomes, and identifies opportunities to strengthen program operations and the student experience.
The Program Manager serves as a key student-facing administrative resource and works closely with the MSTP Coordinator, providing functional direction on shared projects and overseeing operational implementation within the Manager's areas of responsibility.
Responsibilities
• Manage the MD-PhD application screening, interview, and admissions decision release process, including workflows, assignments, scheduling, interviewer participation, applicant communications, and virtual interview programming.
• Serve as a primary program resource for Admissions Committee members and student volunteers, providing guidance, training, resources, and ongoing support, and recruit and prepare students to participate in admissions and recruitment activities.
• Translate program recruitment priorities into outreach programming, content and messaging, and represent the MSTP at national conferences, webinars, fairs, and other events.
• Manage systems and processes for tracking MD-PhD student progression, academic requirements, Individual Development Plans, course registration, and other program milestones across all phases of training.
• Serve as a key student-facing administrative resource for program requirements, milestones, academic transitions, and administrative processes, connecting students with appropriate faculty and institutional resources as needed.
• Lead student onboarding from matriculation through New Student Orientation and coordinate programming and resources that support students through major transitions between the medical school and PhD phases of MD-PhD training.
• Develop and oversee academic, professional development, clinical, community-building, and student engagement programming, including the annual MSTP Retreat and other major program initiatives, while overseeing logistical implementation by the MSTP Coordinator.
• Lead program communications and publications, including reintroducing and managing the MSTP newsletter, developing and updating the program brochure and other promotional materials, and contributing substantively to the Annual MSTP Report.
• Manage program data, dashboards, trackers, surveys, and other systems supporting admissions, student milestones, programming, assessment, and decision-making; analyze data and feedback to identify opportunities for program and process improvement.
• Manage trainee and program data and reporting workflows supporting the MSTP T32 training grant, annual RPPR, and competitive renewal, ensuring required information is complete, accurate, and organized in support of the Administrative Director’s oversight.
• Manage day-to-day financial administration for assigned program activities, including purchase orders, reimbursements, invoices, and related financial transactions within established budget parameters.
• Collaborate with MSTP leadership, GSBS, Medical Education, faculty, students, alumni, and other institutional partners to coordinate program initiatives and support alignment across the MD-PhD training continuum.
• Provide functional direction and work coordination to the MSTP Coordinator on shared projects and initiatives, translating program priorities into workflows, timelines, responsibilities, and deliverables and overseeing operational implementation.
• Performs other related duties.

Qualifications
• Bachelor's degree or greater preferred, or a combination of applicable experience and education
• 3+ years' experience (5 preferred), managing and administrating program activities for assigned area.
• Highly preferred: At least four years of progressively responsible experience in higher education, academic medicine, graduate or medical education, admissions, student affairs, program management, or a related field.
• Demonstrated experience independently managing complex programs and projects involving multiple stakeholders.
• Strong project management, organizational, analytical, and problem-solving skills.
• Excellent written and verbal communication skills and the ability to work effectively with students, faculty, senior leadership, and institutional partners.
• Experience with admissions, recruitment, student progression, academic programs, student affairs, or program development strongly preferred.
• Experience managing student tracking systems, program data, or process improvement initiatives preferred.
• Experience with financial administration, purchasing, reimbursements, or institutional financial processes preferred.
• Proficiency with Microsoft Office, Google Workspace, Airtable, survey platforms, and other project management and productivity tools.

Compensation
The Mount Sinai Health System (MSHS) provides salary ranges that comply with the New York City Law on Salary Transparency in Job Advertisements. The salary range for the role is $64526.72 - $105000 Annually. Actual salaries depend on a variety of factors, including experience, education, and operational need. The salary range or contractual rate listed does not include bonuses/incentive, differential pay or other forms of compensation or benefits.
