Job Summary:
The Perioperative Preference Card Manager is responsible for ensuring and maintaining the standardization and accuracy of the preference cards for all surgical procedures at MMH and affiliated locations via collaboration and consultation with key stakeholders. This role works closely with nursing, inventory and materials management, and finance to maintain an accurate inventory of equipment and serves as the key link between surgeons’ needs and inventory control. In addition, this position utilizes data and analytics to guide decision-making and to ensure accuracy and standardization of preference card content and supporting processes.
Key areas of responsibility
• Manages the creation and maintenance of surgical preference cards in EPIC for all procedures to support operating room efficiency, track procedure costs and reduce product waste.
• Utilizes specialized expertise to develop systems to add, review, update, eliminate and/or archive preference cards/information to maintain up-to-date cards in conjunction with clinical and administrative stakeholders to reflect the various equipment, instrumentation and inventory needs of the surgeons and service lines.
• Develops and implements audits, process improvement projects and targeted communications to maintain efficient processes and data accuracy for the preference card program.
• Establishes and maintains a clear periodic review and update process for preference cards. Facilitates regularly scheduled clinician (Service Line Leads) audits of preference cards to verify their clinical accuracy.
• Conducts review sessions with service lines, surgeons, nursing leads and leadership and other related stakeholders to evaluate needs, provide feedback and influence changes.
• Meets with stakeholders to evaluate changes, progress and updates to preference cards. Implements and communicates changes as needed.
• Manages and maintains the process for identifying needs and creating new preference cards for all new surgeons.
• Researches new and existing items collaborating with inventory and materials personnel to ensure the accurate maintenance of preference cards.
• Conducts inventory utilization and waste analysis. Presents findings and makes recommendations for improvements.
• Identifies and pursues opportunities for streamlining/standardizing supplies and equipment, ensuring quality while maximizing cost containment opportunities.
• Contributes to the identification and design of initiatives to improve and strengthen the performance of the process to ensure cost effectiveness, Maintains a balance between surgeon needs and preferences, alignment with HHC values, cost effectiveness and following all internal and external guidelines and mandates..
• Reviews and updates existing preference cards in the Epic system to reflect surgeon specific requests.
• Inputs cards for the daily operating room schedule. Maintains case cart database.
• Inactivates outdated information related to preference cards in the system.
• Performs additional duties and responsibilities as assigned.
Qualifications
Requirements
Education
• Associate’s Degree or equivalent combination of education and experience.
Experience
• Minimum 5 years of perioperative experience.
Licensure
• RN-Registered Nurse license in Connecticut
• Must maintain licensing status
