Purpose of Position:
The purpose of the Front Office Team Member position is to support the delivery of high-quality, patient-centered pediatric care by serving as a welcoming, knowledgeable, and reliable first point of contact for children and their caregivers. This role ensures efficient front office operations that promote access to care, positive patient experiences, and the financial sustainability of the health center through accurate, compassionate, and professional administrative support.

The Front Office Team Member plays a vital role in advancing the health center’s mission by creating a welcoming, safe, and family-centered environment for children and their caregivers. As the first and last point of contact, this position helps set the tone for each visit by demonstrating warmth, patience, and professionalism in every interaction.
Access to Patient & Family-Centered, High Quality Care: This role supports access to high-quality pediatric care by assisting families with scheduling, insurance, referrals, and administrative processes clearly and compassionately, recognizing that caregivers may be navigating stress, time constraints, or complex systems. Through culturally sensitive and compassionate interactions, the Front Office Team Member helps build trust with families, reduces barriers to care, and supports positive, long-term relationships that promote children’s health and well-being. By collaborating closely with clinical teams and upholding the organization’s values, the Front Office Team Member contributes to a positive patient experience and helps ensure that every child and family feels respected, supported, and cared for.
Financial Success & Sustainability of the Mission: The Front Office Team Member supports the financial sustainability of the health center by ensuring accurate and timely collection of patient information, insurance details, and required documentation. By helping families understand coverage, eligibility, and financial processes clearly and respectfully, this role reduces barriers to care while supporting appropriate reimbursement for services provided. Through attention to detail, effective communication, and collaboration with billing and clinical teams, the Front Office Team Member helps minimize errors, delays, and insurance claim denials that can impact revenue. By fostering positive, trusting relationships with families and encouraging continuity of care, this role contributes to patient retention and the long-term financial health of the pediatric center, ensuring the health center can continue to serve children and families in the community.
Job Responsibilities:
• Resposnsible for greeting and assiting patients with the registration process
• Responsible for ensuring patients and checked in timely for their appointment and tracked correctly in the Ehr system
• Responsible for collecting payment from patients
• Responsible for scheduling and rescheduling patient appointments as needed
• Responsible for processing and correcting end of day reports
• Responsible for balancing collected payments with reports
• Responsible for assisting with eligibility processs
• Responsible for assisting other front office staff with check-out and eligibility process as needed
Experience & Skills:
*Previous customer service experience in a busy environment/ medical front office a plus
*Knowledge and experience with computers
*Ability to multi-task and work with a team
*Must be detail oriented, organized and able to prioritize tasks
*Must be receptive to change and a busy schedule
Schedule:
Monday - Friday 8 -5
