HR Associate Essential Job Duties:
1.Anticipates activity flow in the office. Organizes individual work schedules in a systematic manner, taking into consideration priorities identified by the staff in the Human Resources Department.
a.Exercise good judgment and discretion when communicating with applicants, employment inquires, answering telephone and walk-in traffic.
b.Recognizes the importance of Human Resources information confidentiality.
c.Assists applicants with online application process.
d.Enters New Hires information to Lawson including Pay, Tax and I9 information
2.Assesses priorities regarding applicants, appointments, typing communications, etc.
3.Performs designated activities including personal computer and various other office equipment.
a.Proficient in Lawson Software, ImageNow, and word processing software.
b.Screens calls,and communicates appropriate information.
c.May draft and prepare letters, memos and correspondence.
d.Exercises tact and diplomacy and exhibits professional conduct in dealing with co-workers and the general public.
e.Adjusts well to flexible schedule.
4.Performs back-up duties as requested, i.e., pulls files forwards information, facilities transfer or files.
5.Assists CHRO of HR upon request as well as HR Manager-Acquisition.
6.Knowledgeable regarding hospital policy, procedures, and general information.
a.Exercises tact and diplomacy when greeting people and answering phones.
b.Attends seminars and workshops as requested.
c.Performs all other duties as assigned.
7.Responsible for opening front office and relief of front office staff including: PR sign-ups, and phones.
8.Maintains co-worker records with updated information and scans all documents pertaining to the co-worker's personnel records.
a.Maintains and moves documents to Image Now from the HR evaluation shared email.
b.Documents include but not limited to:
1.Benefits paperwork
2.New hire documents
3.Disciplines
4.Competencies
5.Miscellaneous HR documents.
9.Performs all functions of front desk.
10.Picks up and distributes mail for HR department, orders supplies for department.
11.Tracks earnings of employee-sponsored fund-raising events.
a.Basic personal computer, and various other office equipment.
b.Sorts and distributes incoming mail and other documents.
c.Answers telephone, screens calls and communicates appropriate information
d.Exhibits professional conduct in dealing with co-workers and general public,
e.Recognizes the importance of confidentiality as it relates to co-worker files and information received in the Human Resource Department.
f.Responsible for all filing received in the Human Resource Department.
12.Maintains contract employment documents and be the liaison to ensure onboarding process for contract personnel are done timely and accurately.
13.Schedule events atrium/7th St bypass.
14.Copy files for attorney request.
15.Facilitate co-worker name changes
Education, Training & Experience
1.Excellent computer skills utilizing various software packages. Typing skills at 50 wpm necessary.
2.Course work in secretarial science or equivalent education of experience.
3.Must meet and deal successfully with a wide variety of people.
4.Must be accomplished in written and verbal business communication.
5.At least one (1) yr secretarial experience.
6.Flexible to meet the demands of the department.
