Summary
The Hospitalist Program Coordinator provides operational, administrative, and physician support for the day-to-day activities of the Hospitalist Program. This position serves as a key liaison between hospitalist physicians and advanced practice providers (APPs), Medical Network leadership, hospital departments, Medical Staff Services, Human Resources, Finance, Payroll, and other operational partners.
The Hospitalist Program Coordinator supports physician and APP scheduling, onboarding and credentialing coordination, timekeeping and payroll processes, meeting administration, program communications, operational reporting, and ongoing program initiatives.
The position works closely with the Hospitalist Medical Director and operational leadership to support effective physician coverage, timely resolution of operational issues, and efficient coordination of hospitalist services.
Hospitalist Program Operations
• Provide day-to-day administrative and operational support for the Hospitalist Program.
• Serve as a primary point of contact for hospitalists and APPs regarding program operations, scheduling, administrative processes, and general program questions.
• Partner with the Hospitalist Medical Director and operational leadership to coordinate program priorities and activities.
• Identify operational issues and escalate matters requiring Medical Director or leadership review.
• Coordinate hospitalist program meetings, including scheduling, agendas, materials, meeting minutes, and follow-up items.

Physician and APP Scheduling
• Develop, maintain, and distribute physician and APP work schedules in partnership with the Medical Director and program leadership.
• Coordinate schedule changes, vacations, planned absences, and coverage needs.
• Assist with identifying coverage gaps and communicating open shifts to appropriate providers.
• Track schedule changes and ensure accurate communication to physicians, hospital departments, Medical Staff Services, Payroll, and other stakeholders as appropriate.
• Maintain accurate physician coverage and on-call schedules.
• Support provider schedule reconciliation and related reporting.

Physician and APP Onboarding
• Coordinate the administrative onboarding of new hospitalists and APPs.
• Work collaboratively with Physician Recruitment, Human Resources, Medical Staff Services, IT, hospital departments, and leadership to facilitate timely onboarding.
• Track credentialing, privileging, orientation, system access, badges, equipment, training, and other onboarding requirements.
• Coordinate orientation schedules and ensure providers receive necessary information before their first clinical shift.
• Maintain onboarding checklists and monitor outstanding requirements.
• Support offboarding and transition activities for departing providers.
• Assist providers with navigating administrative requirements related to credentialing, onboarding, compliance training, and hospital access.
• Maintain program records in accordance with organizational policies and applicable regulatory requirements.
• Support audits and compliance reviews as requested.

Administrative Support
• Coordinate physician meetings, departmental meetings, interviews, orientations, and special events.
• Prepare correspondence, reports, presentations, spreadsheets, and other program materials.
• Maintain confidential physician, employee, and business information.
• Assist with purchase orders, invoices, expense reimbursement, supplies, and other departmental administrative activities as assigned.
• Participate in process-improvement initiatives designed to improve program efficiency and physician experience.

Minimum Requirements
Education:
• Associate's or bachelor's degree in healthcare administration, business administration, human resources, health services, or a related field.

Experience:
• Three or more years of progressively responsible administrative, healthcare operations, physician practice, medical staff, or program coordination experience.
• Experience coordinating multiple priorities, schedules, and stakeholders in a fast-paced environment.

Preferred:
• Three to five years of experience within a hospital, medical group, physician practice, or healthcare organization.
• Experience supporting physicians and/or advanced practice providers.
• Experience with hospitalist, medical staff, physician practice, or clinical operations.
• Experience with physician scheduling, credentialing, onboarding, payroll, or provider compensation processes.
